This Privacy Policy explains how we collect, use, store, and protect your information when you use Kurasa Workspace (available at mykurasa.com), and outlines your rights regarding your data.
1. Scope of the Policy
This Privacy Policy applies to:
- School administrators, teachers, parents/guardians, and learners using Kurasa Workspace.
- All users accessing services such as lesson planning, assessments, schemes of work, learner reports, attendance tracking, class management, and other Kurasa tools.
By accessing or using Kurasa Workspace, you consent to the collection and use of information as described in this policy.
2. Data We Collect
We collect two categories of data:
a) Personal Identification Information (PII)
- Teachers/School Admins: Full name, email address, phone number, school/organization details, profile photos.
- Parents/Guardians: Name, phone number, email, linked learner profiles.
- Learners: Full name, gender, birth year, class level, classroom assignment, assessment records, attendance records.
b) Usage and Activity Data
- User login activity, actions performed on the platform (e.g., assessments posted, reports generated).
- Learning behavior analytics (e.g., assessment performance trends, lesson planning activity).
- Browser type, device type, IP address (non-identifiable), and session logs.
3. Why We Collect Data
Kurasa Workspace collects data for the following purposes:
- Educational Service Delivery: To enable core functionalities like assessments, reports, lesson plans, and attendance.
- Performance Monitoring: To provide dashboards and reports that support teaching, learning progress tracking, and school performance insights.
- User Experience Personalization: Tailoring content to different users (teachers, learners, parents).
- Support & Troubleshooting: Identifying and fixing user-reported issues.
- Compliance & Record Keeping: Keeping accurate records of school activity where mandated by education authorities.
4. How We Use the Data

- All user data is stored securely in encrypted servers hosted within the jurisdiction compliant with data protection laws (e.g., GDPR, Kenya Data Protection Act).
- Access to learner data is restricted to authorized personnel only (teachers, school admins, and guardians with rights).
- Regular backups and security audits are conducted to prevent data loss and unauthorized access.
6. Third-Party Data Access
Kurasa may share anonymized or aggregated data with:
- Education Authorities (upon request or contractual requirement for school performance monitoring).
- Service Providers: For hosting infrastructure, SMS gateways, or email services, strictly for operational purposes.
- We do not share personal identifiable learner data with advertisers or for non-educational commercial purposes.
7. Data Retention Policy
- User accounts remain active as long as the institution maintains a Kurasa subscription or until deletion is requested.
- Learner data is retained for up to 3 years after account deactivation for academic record-keeping before full anonymization or deletion.
- Parents/Guardians can request account removal at any time via support@kurasa.co.
8. User Rights
As a user of Kurasa Workspace, you have the right to:
- Access your data: Request access to data we hold about you or your learner(s).
- Correct your data: Request correction of any inaccurate or incomplete personal data.
- Delete your data: Request deletion of your account and data (subject to institutional policies for schools).
- Withdraw consent: You may withdraw your consent to data processing for non-essential services.
- Request data portability: Request an export of your data in a structured format.

9. Special Considerations for Learners
Kurasa enforces:
- Learner accounts must be created and managed by teachers, school administrators, or verified parents/guardians.
- Learners cannot independently register accounts on Kurasa Workspace.
- All learner activities are visible to assigned teachers and school administrators to ensure accountability and supervision.
10. Policy Updates
Kurasa reserves the right to modify this policy periodically. Changes will be:
- Communicated via platform notifications or email to registered users.
- Reflected in the “Last Updated” date above.
