Interface labels are shown in English. Follow the translated steps below to find each control. Follow the sequence, review the recorded information and choose the next step.

Who can use this feature

Use your own account and check the school before opening records. Account checks do not grant a school role. Ask an authorised school administrator to review missing membership, class assignments or feature access; families use their own approved learner links.

Before you start

You need permission to the record and an existing generated file. Confirm learner, academic year, term and report availability before troubleshooting the browser.

Sign in and choose your school workspace

Required and optional fields

Follow the requirements of the form you are using. The diagnostic details below help you check the problem; they are not a separate form or a request to change your account.

FieldRequirementFormat or examplePrerequisite
File and versionRequired when applicableConfirm the record, year, term, filename and available preview/download action. A generated and accessible source file is needed before a copy can be downloaded.Current account, selected school/year, saved setup records and the actual form’s requirements.

Picklist prerequisites

Report years and files depend on saved learner records and generated reports. Changing the year does not generate or release a missing report. Export filters determine what a downloaded list contains.

Desktop walkthrough

Check the current screen and the relevant context.

  1. Open the intended learner’s Reports and select the academic year. Read the term and filename; a file must have been generated and released where required.
  2. Choose the available preview or open action. If a browser notice reports a blocked window or download, review the expected file action for this site rather than repeatedly clicking.
  3. In the file viewer, use Download PDF when available. Otherwise use the file’s or browser’s download control. Note the filename and wait for the download to finish.
  4. Open the saved file from your device’s downloads location and check learner, year, term and content. A viewer opening does not mean a separate file was saved.
  5. If it is missing or cannot open, check the browser’s download notice, storage and the original record. Report the specific filename and error if it continues; keep personal files private.

Mobile walkthrough

On a phone, scroll to Reports, check the year and open the file. The viewer and saved downloads may be separate screens. Return to the original app tab to continue; use the device’s downloads location to verify a saved copy.

If section tabs are hidden on a phone, open More where available. Swipe wide tables sideways to reach every column.

Save and verify

Confirm the intended file opens and its version is correct. A downloaded report is a record for discussion, not evidence of learning or confirmation that a family read it.

Troubleshooting

No report, blank preview or missing downloaded file?

First check record access, year and report generation. Then check the file action, browser notice and device storage. If the source file fails too, report it rather than repeatedly exporting or sharing an unverified copy.

Before retrying a save or send, reopen the same record and check whether it was already saved or queued. Keep the original wording and error. Repeated clicks can create duplicate actions.
