Learner records

One official record for each learner

Attendance, assessment and reports read the same learner and the same family. Records are not thrown away: a status changes, and sensitive fields change through a request.

Available now

Profile, guardians and history

The learner profile holds the school record staff are allowed to see, including formative work, attendance and reports.

Admissions

An admissions path is designed so a sibling joins the family account instead of creating a second guardian.

In development

Grade 9 pathways

Pathway suggestions are designed to grow from tests and classroom evidence. A missing record is not treated as a zero, and a parent’s preference is not treated as evidence.

Find the information you need

Keep the learner's school context organized for the staff authorized to use it. Check that the correct class and learner record are selected before adding an entry. Accurate identifiers and agreed responsibilities help the school avoid duplicate records and keep follow-up attached to the right person.

Connect records to learning

Review attendance, assessment and the relevant school history together when preparing a learner conversation. Look for gaps in the record and ask colleagues for context where needed. A profile helps organize that discussion; staff still decide what the evidence supports and what should happen next.

Handle information responsibly

Agree who can enter information, who checks corrections and who may share it. Include only the personal information needed for the school task and follow the school's process for sensitive records. Discuss retention, access and deletion responsibilities alongside the privacy and governance information.

Keep the classroom record useful over time

Accurate learner information helps staff connect the right person to attendance, assessment and school reporting. Agree a consistent approach to names, class placement and updates before importing or entering records. Review changes at the start of a term so that teaching teams work from a reliable starting point.

Give information a clear purpose

Only enter information needed for the school’s agreed work and follow your organization’s rules for access and sharing. Staff should know who corrects a record and who handles a family’s question. Discuss required fields, migration and retention with Kurasa when planning a school or network rollout.
