Interface labels are shown in English. Follow the translated steps below to find each control. Follow the sequence, review the recorded information and choose the next step.
Who can use this feature
Use your own account in the correct school workspace. The school Parents directory needs an authorised leadership role. Class teachers can manage parent links for their assigned class. SMS pages require an owner, co-owner or administrator role. Families use their own linked account.
Before you start
Verify the guardian-to-learner link and permission to share. Learning records must exist for the chosen learner and year. Family fees also need a separate linked fee account and the enabled school finance service.
Required and optional fields
| Field | Requirement | Format or example | Prerequisite |
|---|---|---|---|
| Learner report and fee account | Check before continuing | Confirm the linked learner, year, term and report file. For fees, also confirm the family account code and members; check the currency and figures shown in that record. | Current school, permissions, academic year and saved learner/contact records. |
Picklist prerequisites
Class choices need the approved family link; report years and files need saved learner records and generated reports. Fee views need family-account membership. Changing a report year does not create a missing file or release it.
Desktop walkthrough
Check the school, person and current record.
Screen walkthrough · 0:45Download GIF ↓- Confirm the family’s own login, school and linked learner. From Class wall, choose the class and check My Learners in this Cohort before opening View Student.
- Open the intended learner’s Reports, select the academic year and review the term and file. The school must have generated the appropriate report and completed any required release step. Check the original evidence and wording before sharing a file.
- Discuss what was practised, what was observed, the support used and the next activity. Invite the family to describe the learner’s routine. A report label or score should support a conversation rather than a promise about future attainment.
- For fees, open the family’s Fees → Balance and confirm account code and members. Read Invoices for the correct term, amount, balance and status; use the available statement or history to check the record. A learner link alone does not create a family fee account.
- Share only the relevant individual record through the school’s agreed channel. Ask the family to confirm they can open it, discuss any correction with the responsible team and agree the next check-in. Keep other learners’ reports and whole-school fee lists private.
Mobile walkthrough
On a phone, scroll to My Learners and open the correct learner, then Reports. Check the year and file before opening the preview. In Fees, read the family card and swipe invoice tables sideways for Balance and Status. Keep the invoice identity and term in view before discussing a figure.

Confirm the intended family can access the correct learner report and fee account. Check the year, term and file version. Record the agreed next step; downloading a file or opening an account is not evidence that learning or payment has occurred.
Troubleshooting
No report, wrong learner or no family fee account?
Check the family link, class, year and the school’s report generation/release process. Ask the office to check fee-account membership and the guardian login when Fees has no family. Correct access before sharing; do not send another learner’s record as an example.
If saving or sending fails, keep the draft and read the error. Reopen the same record or campaign before retrying. Check what was saved or queued first to avoid duplicate invitations or messages.
