Overview

Planning Gaps helps an authorised reviewer locate records to check by week, class, learning area and teacher. A missing plan needs discussion and a source check; it does not prove that teaching did not happen.

Who can use this feature

Sign in to the correct school with your own account. Teachers use their allocated classes and learning areas; school-wide views require an authorised leadership role and the relevant enabled module. Ask the school administrator to check access if a section is missing.

Before you start

Agree the teaching week and review scope. Check the school calendar, allocations and timetable before comparing records. Use the school’s configured curriculum: for example Ghana’s CCP content standards and indicators, or Kenya’s CBC/CBE learning areas. Follow the separate country guides when setup differs.

Have the timetable, selected teaching week and current allocations ready. Confirm access to Planning Gaps and the relevant records.

  1. Open Lesson plans → Planning Gaps. Select academic year, term and week, then confirm the displayed date range.
  2. Leave All for an initial school view or narrow grade, class, learning area and teacher. Recheck the scope after changing a period.
  3. Compare each apparent gap with the timetable, existing drafts and the responsible teacher’s records. Check rescheduling, non-teaching days and changed allocations.
  4. Open the relevant saved plan or teaching record where your role permits. Correct the actual source through its normal workflow; do not create a duplicate to change a count.
  5. Agree the next preparation or record-checking action and review again using the same scope after the saved change.

On a phone, open the section menu and select the named view. The lesson-plan section selector may replace desktop tabs. Swipe the calendar or wide tables horizontally; use landscape when helpful. Check the week or date again after navigating.

On a phone, work down the filter grid in order: year, term, week, then narrower filters. Swipe a wide report or use landscape before opening an individual record.

After a permitted update, wait for confirmation and reopen the saved record. Check whether an earlier request succeeded before retrying. Review counts only after confirming the same dates, classes and filters.

Save and verify

Each investigated gap has a checked explanation or a named follow-up. A coverage count guides record review rather than ranking teachers.

Troubleshooting

The report shows no current teaching week or unexpected gaps

Check the school calendar and selected dates first, then timetable and allocations. Wait for the report to load; an error is not an empty report.

A view or choice is missing

Check school, role, enabled module, allocations and current filters. Complete the prerequisite setup first. A loading error or empty filtered view does not establish that no record exists.
