Who can use this feature
Sign in to the correct school. Formative marking uses your teaching allocations; creating groups, importing marks and releasing reports require the appropriate school permissions. Your plan and enabled modules determine which menus appear.
Before you start
Prepare the class list, teacher allocations, curriculum and school calendar. Use the school’s configured rubric: Ghana CCP content standards and indicators, Kenya CBC/CBE strands and indicators, or the configured national or international programme. Check school settings before applying a grading scale.
The current official import is Kenya KJSEA within enabled Pathways. Leadership needs verified admissions and source records; it is not a general import for every country.
Required and optional fields
| Field | Requirement | Format or example | Prerequisite |
|---|---|---|---|
| Admission number, subject and official score | Required in this form | In the enabled Kenya KJSEA import, admission number and subject are required per row; score is optional and numeric when supplied. Add at least one row before Import. Match the school’s existing admissions exactly. | School class lists and teacher allocations; configured curriculum, calendar and saved source records. |
Picklist prerequisites
| Choice | Options come from | Earlier selection | If missing |
|---|---|---|---|
| Official record matching | Existing school admission numbers and the verified official record. | Enable Pathways and confirm leadership permission; verify each admission before adding a row. | Correct unmatched admissions in the source or school record after checking identity; do not create a second learner. |

Identify the KJSEA import page
Screen walkthrough · 0:45Download GIF ↓- Open Pathways and the KJSEA import page with leadership access.
- Enter the exact learner admission number and subject. Enter a numeric score when available; leave it empty if the verified record has no score.
- Choose Add row and review the queued row. Repeat for each checked source entry; adding a row has not imported it yet.
- Choose Import once the rows are verified. Read the linked-row count and investigate unmatched admissions.
- Review the linked record on the learner profile alongside observations and interests. Official results sit beside the profile and do not change a pathway band.
Mobile walkthrough
Identify the KJSEA import page
Screen walkthrough · 0:45Download GIF ↓On a phone, close the navigation drawer and work through one learner or field at a time. Scroll down to the action buttons; wide tables may also scroll sideways. Use landscape for comparison, then recheck class, period and learner before saving.
Save and verify
The linked rows match the verified source and learner identity. Guidance remains a conversation about evidence, interests and next experiences.
Wait for a saved confirmation, then reopen the same record. A draft kept on this device is preparation; it is not a saved school record. When a connection fails, check whether the first request succeeded before trying again.
Troubleshooting
Rows do not link or Import is denied
Leadership permission is required. Check existing admission numbers and source subjects; correct mismatches after identity checks, then review the linked count again.
A list or menu is missing
Check workspace, role, enabled module, academic year and allocation. Choose the parent option before its dependent field. Ask the administrator to correct the setup; avoid duplicate classes or learners to populate a list.
