Who can use this feature
Use your own authorised school account. Settings usually require owner, co-owner, administrator or school-leadership access; finance and staff-credit actions have their own permissions. Confirm the specific action with the school lead.
Before you start
Confirm the workspace, academic year, school curriculum and your responsibility for this change. Have the approved school records available and review existing settings before entering replacements.
Confirm finance access, live data and the correct school/year. Have the relevant invoice or payment reference; these review steps do not require entering a payment.
Required and optional fields
| Field | Requirement | Format or example | Prerequisite |
|---|---|---|---|
| Search, year, term and status filters | Optional | Optional viewing filters. Clear them to investigate missing records; a filtered list is not proof that invoices or receipts do not exist. | The enabled live school-finance module and approved fee records. |
| Invoice and status | Check before continuing | Viewing an invoice needs no payment entry. Match invoice number, period, amount allocated and balance. A pending or initialised payment is not a confirmed receipt. | The enabled live school-finance module and approved fee records. |
| Record identity and corrected values | Check before continuing | Match the saved record with the admission number or other reliable school identifier. Check class and year as well as name; similar names alone do not establish a duplicate. | The enabled live school-finance module and approved fee records. |
Picklist prerequisites
| Choice | Options come from | Earlier selection | If missing |
|---|---|---|---|
| Families and fee-structure versions | Imported academic learners, assigned families and published fee versions for the period. | Enable live finance, check the academic import and publish the approved fee version before billing. | Check year, family assignment and version status. Sample data is not the school’s live ledger. |
| Years and terms | The school’s existing academic-year catalogue and term-date records. | Select the year before checking terms and classes. | Clear filters and confirm that the year exists; ask the administrator to check setup. |

- Open the intended invoice and compare its family, learner lines, fee version, due date and recorded allocations.
- Open Receipts or the family statement. Match the payment reference, date, amount and allocation to the source record.
- Inspect unallocated amounts and reconciliation exceptions before treating a payment as settled. Use authorised correction/approval routes with an appropriate reason.
- Download a permitted invoice, receipt or statement where offered and check its period and contents. Share only through the school’s approved family-contact process.
Mobile walkthrough

Screen walkthrough · 0:12Download GIF ↓On a phone, open the school menu and the feature named in the steps. Open one record or panel at a time. Scroll inside drawers and close the keyboard to reach the lower fields and final action.
Choose prerequisite fields first and check any defaults after changing school, year, class or curriculum. For wide grids and large imports, use landscape or a larger screen; the written instructions remain available.
After an authorised save, wait for confirmation and reopen the record. If a request may have completed, inspect the saved state before trying again.
Save and verify
Invoice status, allocated payments, receipt and family statement agree. A receipt reference should be checked against the actual recorded payment; a filtered list is not the complete ledger.
Troubleshooting
An option or feature is missing
Check school, year, role, curriculum and enabled modules. Clear search filters and wait for loading. Resolve the preceding setup item first; ask the administrator to check access if the choice remains unavailable.
A family paid but the invoice balance has not changed
Check the payment reference, family assignment and whether money remains unallocated or pending reconciliation. Review the saved payment before entering another one.
A change did not save
Read the named validation error and correct that field. Check whether any part of the request succeeded before retrying. Keep the original source record available until the saved version has been checked.
