Interface labels are shown in English. Follow the translated steps below to find each control. Follow the sequence, review the recorded information and choose the next step.

Who can use this feature

Use your own account and check the school before opening records. Account checks do not grant a school role. Ask an authorised school administrator to review missing membership, class assignments or feature access; families use their own approved learner links.

Before you start

Know the school, academic year, curriculum and intended class or learning area. Ask the person responsible for setup to check missing records rather than selecting an unrelated option.

Sign in and choose your school workspace

Required and optional fields

Follow the requirements of the form you are using. The diagnostic details below help you check the problem; they are not a separate form or a request to change your account.

FieldRequirementFormat or examplePrerequisite
Dependent curriculum choicesRequired when applicableSelect the allocated learning area, strand, substrand and indicator in order. Check the correct class and year. Later choices depend on earlier ones and may reset when they change.Current account, selected school/year, saved setup records and the actual form’s requirements.

Picklist prerequisites

Typical dependencies are school → year → active class → teacher allocation, and learning area → strand → substrand → indicator. Family choices need approved learner links; fee views also need fee-account membership.

  1. Read the current school and year. Clear unintended search text or filters and wait for the list to finish loading.
  2. Check that the class, learner or staff record exists and is active in the intended year. Teacher learning areas also need a saved class/subject allocation.
  3. In a curriculum form, choose the learning area first, then strand, substrand and indicator. Each later list depends on the earlier selection and saved curriculum content.
  4. After changing an earlier selection, reselect the dependent fields. A previously chosen indicator may be cleared; verify its wording and class before continuing.
  5. If the list is still empty, ask the authorised team to check setup or report the error. Keep the form’s purpose clear; an empty list is not a reason to use another year, class or curriculum item.

Mobile walkthrough

On a phone, open one selector at a time, read the full option and scroll through the form. Return to the first selection when a later list is empty. The example shows curriculum choices becoming available in sequence.

Save and verify

Confirm every selected option belongs to the intended school task. Reopening a selector or choosing an unrelated item does not repair missing setup.

Troubleshooting

The expected choice is still absent?

Check year, active record, permission, allocation and the previous selector. Report which list is empty and what was selected before it. Do not create duplicate records until the existing setup has been checked.

Before retrying a save or send, reopen the same record and check whether it was already saved or queued. Keep the original wording and error. Repeated clicks can create duplicate actions.
