Overview
A school-leader review brings together planning gaps, open registers and observation coverage. Check source records with the people responsible before agreeing support or corrections.

Who can use this feature
Sign in to the correct school with your own account. Teachers use their allocated classes and learning areas; school-wide views require an authorised leadership role and the relevant enabled module. Ask the school administrator to check access if a section is missing.
Before you start
Agree the teaching week and review scope. Check the school calendar, allocations and timetable before comparing records. Use the school’s configured curriculum: for example Ghana’s CCP content standards and indicators, or Kenya’s CBC/CBE learning areas. Follow the separate country guides when setup differs.
Confirm leadership access, enabled modules, the teaching week and review scope. Prepare the timetable and current allocations.

Required and optional fields
| Field | Requirement | Format or example | Prerequisite |
|---|---|---|---|
| School, year, term and teaching week | Check before continuing | In Planning Gaps, select the academic year, term and an offered teaching week. Confirm the displayed start/end dates; a missing current week needs a calendar check. | School calendar, timetable, allocations and the original saved record. |
| Grade, class, learning area and teacher filters | Check before continuing | Optional filters narrow the review; “All” includes the available scope. Check that the selected class and learning area belong together. Recheck choices after changing year or term. | School calendar, timetable, allocations and the original saved record. |
| Next action, responsible person and review date | Check before continuing | Record these in your school’s agreed review notes. Link to the actual lesson, register or observation and describe what remains to do. Follow any additional fields required by your school’s review process. | School calendar, timetable, allocations and the original saved record. |
Picklist prerequisites
| Choice | Options come from | Earlier selection | If missing |
|---|---|---|---|
| Year, term and week options | The school’s saved academic calendar and available teaching weeks. | Set up the year and term dates; choose year before term and week. | Check calendar dates and the selected year/term with the administrator. Do not use an unrelated week to clear a warning. |
| Classes, teachers and learning areas | Existing classes, teacher allocations and configured curriculum. | Create classes and assign teachers and learning areas. Choose the relevant class before its dependent options. | Check active allocations, school, year and filters. Do not create a duplicate class or subject to fill a list. |
| Subjects and curriculum indicators | The selected class’s learning areas and configured curriculum hierarchy. | Select class before subject. For marking, select the required strand/substrand or content standard before the indicator. | Check allocations and curriculum setup. A disabled subject selector needs a class; an empty indicator list needs the earlier curriculum selection. |
Desktop walkthrough
Choose academic year, then term and week
Screen walkthrough · 0:12Download GIF ↓- Open Planning Gaps and set year, term and week. Compare apparent gaps with timetable changes and saved plans.
- Review School attendance for each relevant day. Identify open registers separately from recorded absences and assign checking to the responsible person.
- Review the available formative coverage for the same dates and classes. Check missing observations in context before asking for additional recording.
- Discuss specific records with teachers and agree preparation, access or record-checking support. Activity logs, where available, show recorded actions rather than teaching quality.
- Keep agreed actions, owners and check-in dates in the school’s review notes. Revisit the source record and scope at the next check.
Mobile walkthrough
Choose academic year, then term and week
Screen walkthrough · 0:12Download GIF ↓On a phone, open the section menu and select the named view. The lesson-plan section selector may replace desktop tabs. Swipe the calendar or wide tables horizontally; use landscape when helpful. Check the week or date again after navigating.
On a phone, set the full filter scope before reading a report. Use one class or teacher filter at a time, and landscape or a larger screen for broad comparisons.
After a permitted update, wait for confirmation and reopen the saved record. Check whether an earlier request succeeded before retrying. Review counts only after confirming the same dates, classes and filters.
Save and verify
The review produces clear support and follow-up responsibilities while preserving unresolved questions. It does not rank staff by activity or record counts.
Troubleshooting
Two views show different counts
Compare school, date range, class, learning area and record status. Check whether one view includes only marked registers or saved observations before interpreting the difference.
A view or choice is missing
Check school, role, enabled module, allocations and current filters. Complete the prerequisite setup first. A loading error or empty filtered view does not establish that no record exists.
