Overview

Build one consistent school setup before asking staff to use daily records. Work through the school identity, current year, classes, staff access and learner placement, then check one teaching routine together.

Practice example: all names, records and amounts are fictional. Options vary with your school’s curriculum, currency and access.

Who can use this feature

Use an account with school-approved administrative access. Check the school name before managing people or classes. If the action is unavailable, ask the school owner or administrator to confirm your access.

Before you start

Open the intended school and check its current academic year. Use the school’s checked staff, class and learner lists; resolve duplicate records before adding more.

Agree who owns setup, who approves access and which school list is the reference. Check whether the school already has a workspace before creating another.

Desktop walkthrough

Use the Classrooms setup summary to find missing class teachers, learning-area allocations and learners. Filter by one setup gap, inspect the relevant class, then check its people and learner lists. These are setup checks; the summary is not another form to submit.

Check the school, person or class before starting.

  1. Open the existing school workspace and confirm its name. In Settings, review the school profile and country with the school lead.
  2. Confirm the school’s curriculum and current academic year. Use the actual national framework or enabled international curriculum; keep national, IB and Cambridge / IGCSE names distinct.
  3. Open Classes, select the current year and review levels and streams. Add only the classes the school intends to use.
  4. Open Staff and users. Invite staff with the agreed roles, review pending invitations, then verify class-teacher and learning-area allocations separately.
  5. Add or import the checked learners into the correct classes. With a teacher, open one class, prepare one lesson and check the attendance routine before expanding to the whole school.

Mobile walkthrough

Use the same checks on a phone: open the school menu, confirm the school and year, then review the relevant people, classes and records. Open one record at a time so its context stays clear.

Check the school, person or class before starting.

Tap a field to enter or choose a value. Close the keyboard if it covers the lower fields or final button. Review the form from top to bottom before submitting; leaving a drawer is not proof that a change was saved.

Return to the relevant list after the action and reopen the item to check it. On a shared phone, sign out when you finish. Keep the written steps available while you follow the highlighted screen areas.

Save and verify

The setup is ready for a first routine when staff can open the intended school and classes, learner placement is checked, and the team knows who will resolve missing choices.

Troubleshooting

The curriculum or year looks wrong

Pause class creation and check the school profile with the administrator. Correct the setup before adding records; do not compensate by choosing a similar curriculum or creating duplicate classes.

An option or person is missing

Check the school, your role, the academic year and the upstream setup first. Clear search filters and wait for lists to load. If the option is still missing, ask the administrator to check membership, class setup or allocation.

The action is blocked or the response is unclear

Read the message beside the field and correct the specific entry. If a request may already have completed, refresh and inspect the saved list before trying again. Avoid repeated submissions that could add duplicates or send messages twice.
